About the Role
The Office Administrator oversees the administrative operations within the synagogue. This role requires excellent organisational skills, a high degree of discretion, and strong interpersonal capabilities.
- Administrative Support: Manage the day-to-day administrative activities of the synagogue, including handling correspondence, managing schedules, and maintaining records.
- Communication: Serve as the primary point of contact for congregants, visitors, and external contacts. Ensure effective communication between the Board of Management, Rabbi, synagogue committees, and the congregation. Help compile and distribute weekly eNews and regular magazines.
- Event Coordination: Assist in planning synagogue events, such as services, weddings, bar/bat mitzvahs and hall hire. Coordinate logistics, help arrange for catering, and ensure that events run smoothly.
- Financial Oversight: Assist with the synagogue’s financial administration, including invoicing and processing payments and working closely with the Treasurer.
- Membership Management: Maintain up-to-date records of the synagogue’s membership database, handle membership inquiries, and assist in member retention and recruitment efforts.
- Office Management: Order supplies, manage inventory, and ensure that office equipment is maintained and functioning properly.
- Volunteer Coordination: Help organise the efforts of volunteers, ensuring they are effectively utilised and appreciated.
Working Hours
Part Time (3 hours per day 5 days per week)
Qualifications/Skills Required
- Excellent organisational and administrative skills.
- Strong verbal and written communication abilities.
- Proficiency in office software, including MS Office and database management.
- Working knowledge of MYOB Accounting Software
- Ability to handle confidential information with discretion.
- Knowledge of Jewish customs and traditions is highly beneficial.
- Experience in an administrative role, preferably within a non-profit or religious organisation.
Education Requirements
- High school diploma required; further education or certification in office administration or a related field is preferred.
Work Environment
- The work typically takes place in the synagogue’s office. The Office Administrator works closely with the President, Treasurer and Rabbi.
- This position may require occasional availability during some evenings and weekends to support synagogue events and activities.
- This role is suited for individuals who are highly organised, possess strong multitasking skills, and have a respectful understanding of cultural and religious practices.
